e-Room Management System for College Management Unit (UPK)

The complex room allocation during registration in College Management Unit (UPK), triggered the idea of development for e-Room Management System. As the students that have to wait for their friends and the staff that confused either the room already occupied or not cause the congestion and room redundancy during the registration day. This project development comes in handy to solve the problems arise such as managing room allocation, reservation and key clearance. The methodology involved for the development is waterfall model. There are three phases involved during this project development which are requirement gathering and analysis, system design and implementation. There are deliverables produced as a result from each phases. For the first phase, the requirements are gathered and analyzed carefully based on the UPK staff’s request. Then, all the requirements gathered are fully documented in Software Requirement Specification (SRS) document. Based on the requirements, there are logical diagrams designed in order to view the flow of the system correctly. Hence, all the designs also documented in in Software Design Document (SDD). Lastly, the system implementation produced a system prototype. As the result, a system protype named e-Room Management System for the reservation and room allocation was developed. This system allowed students to do room reservation before register on registration day. Next, the system allows the staff to check for a few restrictions in order for the students to pass the reservation such as their key and clearance history because the students are required to return the room key and clearance form to allow them to stay in college the following semester. Moreover, this system assists the staff to manage room allocation especially on registration day because the system is able to track all the current status of the room.
